Accommodation

Accommodation must be booked by contacting the Kimi Ora Eco Resort directly*

Preferential rates can be secured by quoting Thriving in Medicine on booking. It is strongly recommended that you book accommodation as soon as possible as space is limited. Other accommodation options available here.

  • King and Large ​Studio Units (up to two people)

  • Spa Units (max two people)

  • One Bedroom Units (up to two people)

  • Two Bedroom Units (up to three people)

  • Four Bedroom Unit (minimum of four people per night required to book this unit)

  • An extra person in either the Large Studio, One Bedroom unit or Two Bedroom unit is extra.

 

You will be required to provide a credit card to guarantee your booking, but payment will not be required until arrival at the venue. One night's stay will be charged if your booking is cancelled within 10 days of the retreat.

What to bring

  • If you have a Yoga mat we encourage you do bring it, otherwise we have plenty to lend. 

  • A water bottle

  • Wear comfortable layered clothing so you can cool down or warm up during the sessions.

  • Bare feet for the mornings and warm comfortable socks for afternoon sessions 

  • For the winter retreat bring slippers and a warm shawl or similar

Payments

  • All prices are quoted in New Zealand dollars - there is no GST included or charged on the registration fee.

  • Payment can be made on invoice by credit card.

  • Credit card statements will incur a 3% processing fee. All prices are quoted in New Zealand dollars. Credit card payments are processed via a secure gateway.

  • Confirmation and an invoice will be sent via email upon receipt of your form and fees.

 


Cancellations

  • All cancellations or registration changes must be made in writing via the Contact Form on our website. 

  • Cancellations made prior to 9 March 2023, will be refunded less, NZ$750.00 to cover administration costs.

  • No registration refunds for full cancellations will be made after this date. You may elect to reassign your registration, in which case please contact the Registration Managers with the replacement delegate contact details.

  • If for reasons beyond the control of the Organising Committee, the retreat is cancelled outright, the registration fees will be refunded less a NZ$200.00 administration fee.

Terms & Conditions

Health & Safety
The Registration Managers, in conjunction with the Organising Committee and the Retreat Venue, are committed to providing and maintaining a safe and healthy environment for all attendees, and to providing the information needed to achieve this. The Organising Committee and the Retreat Venue will take responsibility for providing health and safety procedures whilst on-site, however, all attendees need to be aware of their own responsibilities. Each attendee is encouraged to play a vital and responsible role in maintaining a safe and healthy environment through:

  • Listening to the health and safety briefing on-site and/or; 

  • Reading the health and safety procedures provided on-site at the Venue. 

  • Ensuring all accidents and incidents that occur on-site at the retreat are reported. 

  • Informing a member of the Organising Committee or a staff member at the Venue/s immediately of any health and safety concerns. 

  • Respect your own personal safety and that of other meeting delegates and employees. 

COVID Safety Awareness
We also ask all on-site delegates to respect these additional Health and Safety guidelines to reduce any unknown transmission of the disease:

  • Please do not come to the meeting venue if you are unwell.  

  • Report your cold and flu-like symptoms to your local health professional and get tested. 

  • Wash or sanitise your hands regularly. 

  • Sneeze or cough into your elbow and don't touch your face. 

  • Adhere to the current recommended physical distancing, and any on-site signage and instructions.

Delegate List
Personal information is collected on behalf of Thriving in Medicine Ltd. A delegate list will be produced for the meeting including name, organisation and email address. It will be distributed to retreat attendees, and provided to future organisers of the Thriving in Medicine Ltd retreats. This list will not be provided by Thriving in Medicine Ltd to any other third party. Should you not wish your details to be included on the delegate list please indicate during the registration process.


Insurance
Thriving in Medicine Ltd and the Registration Managers will not accept any liability for losses associated with the retreat. Delegates are advised to arrange their own comprehensive travel and medical insurance, including insurance for personal possessions and financial loss due to cancellation or postponement of the retreat.


Photography/Video
The Thriving in Medicine Retreat is held in a public space, therefore we do not prohibit participants, news organisations and other companies from photographing or video or audio-taping some retreat activities. Additionally, the Organising Committee may arrange for photos to be taken during the retreat. Thriving in Medicine Ltd reserves the right to use images taken at the retreat with your photograph and/or likeness in future marketing materials, including on the internet. The Registration Managers may also use images taken at the retreat with your photograph and/or likeness in future marketing materials, including on the internet, with the permission of Thriving in Medicine Ltd. Retreat attendees who prefer their images are neither taken nor published in any format have the ability to object by sending an email request via the Contact Page on our website. 


Protecting Your Personal Data
Please note, the European Union's new General Data Protection Regulation (GDPR) came into effect on May 25, 2018. Whilst the Thriving in Medicine Retreat is based in New Zealand, we believe it is important that we follow the GDPR standards to ensure that your personal data privacy is protected. Please note, when you register online you will be asked to give your consent to provide your personal information in order to register for the meeting.
